2. Why We Collect Your Artwork & Information 

We are currently collecting artwork to create our marketing assets. We aim to reuse and repurpose some of the artwork submitted to give it new life. 

3. Your Permission (Consent for Usage & Storage):

By providing your information and artwork, you are giving us clear permission to:

• Store and Keep Safe: We will store your information and artwork on our secure database indefinitely.

• Display Publicly: We will use the artwork we deem fit. If we choose to use your artwork we will notify you of use. 

• Make it Look Good Online: We will make small changes (like resizing images) to 

4. What Information We Collect for the OVA Media Submissions

When you sign up, we collect:

• Your Name: You Full Name (we will credit your work 

• Your Pronoun(s): Your preferred pronoun

• Your Contact Info: Your email & phone number

• Location (s): Where you currently reside 

• Your Artwork: Images or representations of your artistic work.

We might also collect your computer's address (IP address) and how you use our site to keep it safe and see what's popular.

5. How We Will Use Your Information and Artwork

By consenting to agree to this form you give Our Village Archive permission to:

• Keep Your Files Safe: We will store your information and artwork securely on our database indefinitely.

• Show You to the World: We will publicly display your; Artist Name, Pronouns, Bio, Location, Art Category, Headshot, Social Media link, Website, Headshot, Affiliation on our Artist Directory.

• Promotion of OVA: We will use your Sample of Artwork to promote the Artist Directory in displays, events, and publications about the Archive.

• Make it Work Online: We will make small technical adjustments to your images to ensure they work with the graphic design and brand guidelines. 

6. You Still Own Your Work:

You keep all the rights to your original artwork. By sharing it with us for our Marketing purposes you are giving us permission to display it as described within this policy. 

7. Giving You Credit:

If you are submitting your own artwork, your artist name will be clearly credited within our OVA outputs. 

8. How Long We Keep Your Information:

We will keep your information and artwork in the Artist Database indefinitely to showcase artists in our community. You can ask us to remove your profile at any time.

9. Your Rights under GDPR (Ireland):

You have rights about your personal information. You can:

• See What We Have: Ask us to show you the personal information we hold about you.

• Fix Mistakes: Ask us to correct any information that is wrong.

• Delete Your Profile: Ask us to remove your profile and information from the public directory (we might keep a secure record for archival purposes).

• Limit How We Use Your Information: Ask us to restrict certain ways we use your information.

• Get a Copy: Ask for a copy of the personal information you gave us in a standard computer format.

• Object to How We Use It: Tell us you don't want us to use your information in certain ways.

• Change Your Mind (Withdraw Consent): You can withdraw your consent and ask us to remove your profile at any time.

We might use other companies (like website hosting) to help us run the Artist Directory. They will only use your information to help us and they must keep it safe.

12. Where Your Information is Stored:

Your information will be stored on computers within Ireland Europe. We will keep it safe even if we need to send it outside Europe. 

13. If We Change This Policy:

If we make significant changes to this policy, we will let you know on our website. By continuing to have your profile in the Artist Directory after these changes, you agree to the new rules.
